Operations Coordinator

Job summary:

This role supports an operations and customer service team within a global organization focused on delivering high-performance materials and solutions. The position combines customer support, data coordination, and cross-functional collaboration, giving the Operations Coordinator ownership over customer interactions, internal processes, and continuous improvement initiatives.

Key responsibilities:

* Prepare and maintain accurate documentation related to customer complaints, returns, and service issues.

* Support return authorizations, credit and debit memos, and resolution of customer concerns in a timely and professional manner.

* Research and resolve customer inquiries and issues while maintaining a calm, customer-focused approach.

* Assist with item data management and system updates within ERP/MRP and CRM platforms.

* Maintain product data, item master records, and support inventory and ordering processes.

* Gather and analyze customer, sales, and operational data to support KPI tracking and process improvements.

* Collaborate with internal teams including sales, marketing, logistics, and engineering to improve workflows and communication.

* Support marketing activities including trade show coordination and administrative tasks.

* Maintain internal systems and tools such as SharePoint sites and assist with ongoing process improvements.

* Manage multiple priorities and special projects while meeting deadlines in a fast-paced environment.

Job Requirements

Requirements:

* Availability to work onsite Monday through Friday, 8:00 AM - 4:30 PM.

* Pay range: $25 -$30 per hour, based on experience and qualifications.

* 3+ years of experience in an operations coordinator, customer service, or sales support role.

* Strong understanding of customer service principles, with experience handling customer complaints and issue resolution professionally.

* Excellent verbal and written communication skills.

* Ability to manage multiple tasks, prioritize effectively, and work under time constraints.

* Strong organizational skills and attention to detail.

* Ability to handle sensitive information with discretion and professionalism.

* Experience with CRM systems (such as Salesforce) and ERP/MRP systems preferred.

* Experience with inventory planning, stock ordering, or supply chain coordination.

* Ability to work independently with minimal supervision while collaborating across teams.

* Strong interpersonal skills with a consistent, cooperative, and professional demeanor.

* Ability to apply judgment and problem-solving skills to moderately complex tasks and workflows.

* Knowledge of import/export or trading business is a plus.

* Leadership or consultative skills are a plus.
