Job Overview:

We are seeking an energetic and organized Front Desk & Purchasing Coordinator to join our team. This role will serve as the first point of contact for all guests, ensuring a warm, welcoming environment. You will also be responsible for managing deliveries, purchasing supplies, and ensuring the smooth operation of common areas and break rooms. The ideal candidate will possess excellent communication skills, a friendly demeanor, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

1. Guest Services & Front Desk Management:

  • Greet and assist all guests with a friendly, professional attitude.

  • Answer and direct phone calls, emails, and other inquiries in a timely manner.

  • Provide information about the company or direct guests to the appropriate departments.

  • Maintain a clean and inviting front desk area.

2. Purchasing & Supply Management:

  • Order and maintain inventory of office supplies, and any other property-related items.

  • Ensure timely replenishment of supplies to maintain smooth operations throughout the property.

  • Negotiate with vendors to secure competitive pricing and manage orders effectively.

3. Package Receiving & Distribution:

  • Receive and sign for deliveries and packages.

  • Organize and distribute packages to the correct individuals or departments.

  • Maintain a log of received packages and ensure items are stored safely.

4. Facility Support & Restocking:

  • Restock breakrooms, VIP rooms, and common areas with necessary supplies (e.g., snacks, beverages).

  • Ensure that all areas are clean, well-organized, and stocked at all times.

  • Monitor the cleanliness.

Qualifications:

  • High school diploma or equivalent; additional education or certifications in office administration or facilities management a plus.

  • Previous experience in a front desk, receiving, purchasing, or customer service role is preferred.

  • Strong organizational skills with the ability to manage inventory and supplies effectively.

  • Ability to handle deliveries and packages with attention to detail.

  • Friendly, approachable demeanor with excellent interpersonal communication skills.

  • Ability to multitask and stay organized in a fast-paced environment.

  • Basic proficiency in Microsoft Office or Google Workspace.
